One line per item

Numbered lines beat paragraphs. "14. Suite 210 — interior office door will not latch" is clear. "The doors upstairs have been giving us trouble" is not, and it turns into a phone call that could have been avoided.

Say where it is

Building, floor, suite number, room name. On a large property, half the time spent on a small repair is spent finding it.

Photos do most of the work

• One wide photo showing the wall, door, or ceiling in context
• One close photo of the damage itself
• A phone photo is fine — no special equipment needed

Photos let us scope a lot of interior work before anyone drives out, which means fewer visits and a faster answer.

Note anything with access limits

Occupied suites, after-hours-only areas, tenant notice requirements, badge access, secured medical or records areas. Scheduling around those up front avoids a wasted trip.

Flag what matters most

If three items affect a tenant and the other twelve are cosmetic, say so. Work gets sequenced around what is actually holding you up.

Don't filter the list first

Property managers often leave items off because they assume a contractor will not want small work. Send everything interior and non-structural. Michael will tell you plainly which items are a fit for Tanner Construction LLC and which are not.
